Once you have submitted your PDS order, our PDS team will review it, and our designers will get to work. From here, you’ll receive a proof when ready for you to review – you can request amendments or approve the order.
Receiving your proof link
Once a proof of your order is ready to be viewed, the designer working on your order will send you an email from no-reply@proofing.hyble.tech containing a link to open and view the proof of your order.
To view your proof, click the “Open Proof” button. This will open the Proof Viewer in a new tab on your default web browser (we recommend that you use Google Chrome). We suggest that you save this initial email so that you don’t lose access to your proof.
Please do not reply to this email. This email notification is automatically generated so please do not reply to it as it will not receive a response.
Once the proof is opened it is viewed in the Proof Viewer. This is where all communication about the order including amendments, questions, suggestions and requests will be made.
Please note: we do not accept amendments in any other format or channel and emailing the designer will be reserved for extreme scenarios where necessary.
This is what you will see when opening your proof in the Proof Viewer:
On the left you’ll see the Page Navigation, in the middle is the Design Viewer, and on the right is the Comment/Chat Window.
To navigate through all pages off the document, click the page you would like to view from the Page Navigation section.
Proofs folder
The Proofs Folder is a window within the App that lists all proofs that belong to you. From here you can view the status of all your proofs, as well as open any of them that you want to look at.
To open your Proofs Folder, click the folder icon on the left-hand side of the proof viewer. This will then open a window and list all of the proofs that you own or have been shared with you. From here, click “open” to open any of the proofs listed in the window.
Commenting on your proof
To leave a comment for the designer, simply click the “Add Comment” button. This will then open a text box for you to leave a comment that the designer will then be able to respond to or action. Simply write or paste your text into the box and click the “Save” button to post the comment or the “Cancel” button to discard the comment.
Attachments can also be added to your comment, should you want to add an image or any other form of supporting material to your comment. To do this, click the paper clip icon. This will then allow you to browse for a file to attach to the comment from your device.
@ Mentioning
You can also @ mention anyone that has been added to the proof in the text box. To do this, type the @ symbol, this will then populate a drop down with all the people you can mention.
Select which name you would like to mention in the comment. Click to post the comment. The person you have @ mentioned will then receive an email saying that they have been mentioned in a comment.
Mark up tool
There are also Mark Up Tools at your disposal to add more detail to your comments. These come in a variety of shapes and colours for you to choose from and will help you communicate more effectively to the designer specific changes you want made to the order.
Using the tools is easy. To start, click “Add Comment”, type the comment you want to leave in the text box then click and hold anywhere on the page viewer to begin drawing the Mark Up.
The Mark Up is attached to the comment so to apply it click “save”. You can delete the Mark Up by clicking the 3 dots next to your name on the comment, and the bin button will appear in a drop down. You can also edit the comment from this drop down.
Reviewing previous versions
When you access your proofs, next to the design, you will see “V1”, “V2” etc. This marking notes the version of the proof that is being reviewed – i.e. “V3” means the 3rd version of the proof that the designer has sent over, after editing 2 previous versions.
You’re able to review and access previous versions of your proofs, however when a new version of a proof is sent, the older versions will be locked, so they can’t be commented on. This just helps us keep the location in which the designer finds feedback consistent, so nothing is missed.
To access a previous, locked proof, you can click on the version you’d like to access and click “open proof”. This will open the proof, and you’ll be able to see any comments previously left for the designer.
From the proof viewer, you’re also able to flick through each version easily. In the top left-hand side, you’ll see a dropdown where you can select whichever version you’d like.
Sharing a proof
Sharing a proof is easy and enables you to invite the venue or anyone else to view and comment on the proof. To share a proof, click the share button on the left-hand side of the proof viewer.
A pop up will appear for you to add the email address of the person(s) you would like to share the proof with, along with notification preferences and permissions.
After typing the email address click the “+” button to add that contact to the proof, then click the “Share” button once you have added all contacts you want to share the proof with.
You have control over the Notification Preferences and Permissions of the person you are sharing the proof with.
The Permissions you can give the reviewer are: Comment on the proof, make a Decision and Share the proof.
Simply check the box of each Permission you would like the reviewer to have.
Please note: Do not share your proof email or your url link! This will allow the person you shared it with to view and comment on the proof as you and not as themselves.
Sharing and notification preferences
You have control over the Notification Preferences and Permissions of the person you are sharing the proof with. The Permissions you can give the reviewer are: Comment on the proof, make a Decision and Share the proof.
Simply check the box of each Permission you would like the reviewer to have. The Notification Preferences can be changed at any time, we suggest choosing “Hourly Digest” for anyone you share the proof with.

- Replies To My Comments: Reviewers will only receive an email notification if someone replies to a comment that they have made.
- Decisions: Reviewers will receive and email notification when any other reviewer has made a decision, whether that’s approved, changes required, approved or approved with changes, etc.
- Final Decision: Reviewers will receive an email notification once the last decision maker on the entire proof submits their decision.
- Hourly Digest: Reviewers will receive an email summary every hour only if there has been any activity on the proof.
- Daily Digest: Reviewers will receive an email summary daily for all activity on the proof, again, if there’s been activity.
- None: The reviewer will only receive the initial email that goes out letting them know that they have a new proof to review. The only other time that they would receive an email is if someone did an @ mention to them.
Submitting a decision
The “Submit Decision” button allows you to take control of the status of your order. Once you have received your proof, looked over it, and made any comments, you will then need to make a decision. These two options will be:
Please make all comments before submitting a decision, this will ensure that the designer working on your order will be able to make any and all changes in the one sitting rather than going back and forth with updated version.
To submit a decision click “Submit Decision”, this will populate a menu with decisions for you to select from.
From here, please select either “Approved” if there are no changes required or “Changes Required” if amendments need to be made.
